What is DKV InstantFuel and who is it suitable for?
DKV InstantFuel is a purely digital solution for managing fuel receipts and payments, developed specifically for companies with small fleets (1–20 vehicles), self-employed individuals, and tradespeople. It replaces physical fuel cards with an app and a central dashboard. This significantly simplifies the organization of fuel costs and optimizes your accounting.
Which package is right for me?
With DKV InstantFuel, there are no complicated packages. We offer maximum flexibility with a simple tariff: You pay €2.49 per driver per month. You can flexibly add between 1 and 20 drivers. You immediately use the full range of functions, including tax-compliant export and digital driver management.
How does digital fuel receipt management work?
After every refueling transaction by your drivers via the DKV InstantFuel App, receipts are automatically stored digitally. You can view and export these at any time in the DKV InstantFuel Dashboard (mobile and desktop). All receipts are compliant with tax regulations and prepared ideally for your tax return or bookkeeping.
Which payment methods are supported?
DKV InstantFuel is a “Bring Your Own Credit Card” solution. You can currently use the service with your Mastercard and Visa corporate credit cards.
How do I export fuel receipts for my tax return?
You can export receipts in the dashboard in common formats with just a few clicks. This includes DATEV-compatible data formats, allowing you to import transactions directly into your accounting software or forward them to your tax advisor.
How secure are the data and payments?
Security is a top priority. All data and payments are transmitted in encrypted form and stored in compliance with GDPR. DKV InstantFuel ensures the highest security standards for your transactions and receipts.
Can I assign receipts to specific vehicles or drivers?
Yes, you can have fuel receipts assigned directly to a specific driver or vehicle. This makes it easier to track expenses and facilitate cost center accounting. You can activate the corresponding query for the app in the dashboard under “Vehicle Data” in the company section, so that the driver has to enter the mileage, for example, when refueling.
Billing & Cost
How does billing work for DKV InstantFuel?
Billing is transparent and driver-based. You pay €2.49 (net) per month for each active driver. The service fee is billed monthly. The fuel costs themselves are debited directly via your stored corporate credit card.
Where can I find my monthly invoices for the service fee?
You can download your invoices for the monthly usage fees at any time in the dashboard under the menu item “Subscription”.
Where can I see my current status?
In the dashboard under the menu item “Subscription”, you will find the current status of your account as well as the number of currently active driver licenses.
Can I change the number of drivers?
Yes, DKV InstantFuel grows with your company. You can add (up to a maximum of 20) or remove additional drivers via the dashboard at any time. Billing adjusts according to the number of active drivers.
How can I cancel the service?
You can cancel your subscription at any time in the dashboard under “Subscription”. The cancellation becomes effective at the end of the current billing period. Please note: If you cancel DKV InstantFuel, you and your drivers will lose access to the shared payment method and the ability to download tax-compliant collective exports.
Dashboard & Administration
How do I access my dashboard?
The DKV InstantFuel Dashboard is accessible via your web browser at any time. Please use the link you received during registration.
What functions does the dashboard offer?
Through the dashboard, you have full control over your fleet:
- Manage company data and central payment method
- Invite, manage, and deactivate drivers if necessary
- View transactions in real-time
- Save and print individual receipts
- Export monthly collective invoices and transaction lists in a tax-compliant manner
How can I manage my drivers?
In the “Drivers” dashboard section, you see an overview of all current users. You can see how many driver slots are occupied. In this area, you can invite new drivers, confirm their registration, or remove drivers who have left the company.
How do I invite new drivers?
Go to the “Drivers” section and click on “Invite Driver”. You will receive an invitation link that you can copy and conveniently send to your employee via email or messenger.
How does my driver register and use the app?
The process is very simple:
- Your driver downloads the free DKV InstantFuel App from the App Store or Google Play Store.
- The driver clicks on the invitation link you sent them.
- The DKV InstantFuel App opens, and the driver enters their name.
- Once registration is complete, the driver can immediately pay at all partner gas stations using your stored corporate credit card.
How can I view and save transactions?
All transactions made by you and your drivers are displayed in the dashboard overview under “Transactions”.
On Desktop: Click on the document icon to the right of the transaction to save the receipt.
Mobile: Simply tap on the transaction to view and save the receipt.
How can I export my transactions?
Via “Monthly Export” in the “Transactions” area, you can download all receipts for a month in a bundle. You will receive a ZIP file containing a clear transaction list (CSV/PDF) as well as all individual receipts for the selected period.
Account & Security
How can I reset or change my password?
You can change your password by logging in with your account details at dashboard.dkvinstantfuel.com. To reset your password, simply click on “Forgot password” on the login page and follow the instructions.
How do I change my email address for login?
Log in at dashboard.dkvinstantfuel.com. Under “Account”, you will find your current email address. Click on “Change” and follow the steps to verify the new address.
What happens to my data if I cancel?
After cancellation, your account initially remains in existence to facilitate potential reactivation later. However, for security reasons, all linked drivers and the stored payment method will be removed from your account.
How can I delete my account?
You can request the deletion of your account in the settings within the dashboard. https://dashboard.dkvinstantfuel.com/settings
Please note: If you delete your account, you will no longer have access to your transaction history and past receipts. We strongly recommend exporting all necessary data beforehand.
Can I manage multiple companies with one account?
Each DKV InstantFuel account is currently intended for managing a single company. If you wish to manage an additional company, please create a new account with a separate email address.
